Privacy Policy

Effective date: September 15, 2026

1. Who we are and what this policy covers

Vibrant Yoga LLC, doing business as Vibrant Yoga (“Vibrant Yoga,” “we,” “us,” or “our”), provides mobile and virtual wellness services. This Privacy Policy explains how we collect, use, and disclose personal information through vibrant.yoga, our inquiry and booking processes, communications, and wellness services.

Our services include private yoga, corporate wellness, group events, meditation, sound meditation, chair massage, wellness workshops, and related digital resources.

Contact us about privacy at [email protected].

2. Information we collect

Depending on how you interact with us, we collect the following information:

Contact and inquiry information. Your name, email address, telephone number, service location, organization, job title, and information you provide when requesting services or communicating with us.

Booking and transaction information. Requested services, scheduling details, participant numbers, attendance, package balances, invoices, payment status, and billing information. Payment providers process the payment information you supply through their services. Confirm what payment details Vibrant Yoga can access or retain.

Wellness and participation information. Information you or an authorized parent or guardian provide about goals, experience, mobility, injuries, health conditions, accommodations, and emergency contacts, together with relevant participation records. Please provide only information necessary for your service. Confirm whether instructors record session notes and where they are stored.

Communications and permissions. Correspondence, feedback, testimonials, communication preferences, and records of consent. Photos, recordings, and testimonials used for marketing are subject to the separate permission described below.

Website information. Our website and service providers may collect IP address, browser and device information, pages visited, referring pages, approximate location derived from IP address, and interaction information through logs, cookies, and similar technologies. See Section 5 for the technologies actually used and available controls.

We receive information directly from you and, where appropriate, from a parent or guardian, an event organizer, or an organization arranging services. Confirm whether there are any other actual sources, including business contact databases or referral partners.

3. How we use information

We use personal information to respond to inquiries; prepare proposals; arrange, deliver, and personalize services; communicate scheduling changes; process transactions; administer accounts and packages; accommodate participation needs; manage our business; maintain security; address complaints; and meet legal obligations.

We use contact information to send service communications and, where permitted and with consent when required, relevant marketing communications. You may unsubscribe from marketing emails using the link in the email or contact us to update your preferences. Essential booking, payment, or service messages may still be sent.

Providing a telephone number or accepting these Terms does not itself constitute consent to automated marketing calls or texts. Any marketing text program requires its own applicable disclosures, consent process, and opt-out instructions.

4. When we disclose information

We disclose information to instructors, massage therapists, and other facilitators as needed to arrange and deliver your service. We also use providers for functions such as website hosting, forms, scheduling, payments, customer management, email delivery, document storage, and business administration. Confirm the actual categories, relevant vendors, contractual restrictions, and any AI processing.

For employer-sponsored or organized events, we may provide administrative information needed to coordinate the event, confirm participation, and manage billing. We do not provide individual health disclosures to an employer or organizer without the participant’s authorization unless disclosure is required by law or necessary to address an emergency. Verify this proposed commitment and specify any actual reporting.

We may disclose information when required by law, to respond to lawful requests, to protect safety or legal rights, or in connection with a business transfer, subject to applicable legal requirements and protections.

Other disclosures require your direction or permission where applicable. Advertising-related disclosures, if any, must be described in Section 5.

5. Cookies, analytics, advertising, and embedded content

Cookies and similar technologies can support website functionality, remember preferences, measure use, or support advertising. You can manage cookies through your browser settings. Blocking some cookies may affect site functionality. Browser settings may not control all forms of tracking.

Before publication, identify the actual analytics and advertising technologies, information collected, purposes, recipients, and whether disclosures constitute a sale or sharing under applicable privacy law. Describe any cookie preference tool, relevant opt-out links, and handling of legally applicable browser privacy signals. Remove advertising language if no such tools are used.

Embedded videos, social features, and external booking or payment services may involve other companies collecting information under their own notices. Review those notices when using their features. Our obligations for information we disclose remain governed by applicable law.

6. Health information

We use participation and wellness information to support service delivery and safety. We limit access to people who need it for those purposes, administration, or legal obligations. Please use the designated intake process for sensitive information rather than public comments or social media messages.

This policy does not represent that all information handled by Vibrant Yoga is covered by HIPAA. Any additional legally required health information notices or consents will be provided where applicable.

7. Children and family services

Our inquiry and booking processes are intended for adults, including adults arranging services for children. A parent or legal guardian should provide the information needed for a minor’s participation and complete any required consent documents.

Our website is not intended for children under 13 to independently submit personal information. If you believe a child has submitted information without appropriate authorization, contact us so we can investigate and take appropriate action, including deletion where required. Offering family or children’s services does not mean we invite children to create accounts or submit information independently.

8. Photos, recordings, and testimonials

Attendance, booking, and website use do not grant us blanket permission to use your likeness or testimonial in marketing. Marketing use of identifiable photos, video, or testimonials is subject to separate permission. For minors, we obtain permission from an authorized parent or guardian where required.

Contact us about withdrawing permission for future use. We will explain what can be removed or stopped and any limitations involving previously distributed materials or content controlled by others.

9. Retention and security

We retain information for the purposes described in this policy, including providing services, administering purchases, meeting legal and accounting requirements, and resolving disputes. Retention depends on the type of information, the purpose, applicable obligations, and whether an ongoing legal matter requires preservation. Confirm the actual retention and deletion practices, particularly for health records and inactive clients.

We use reasonable administrative, technical, and physical safeguards appropriate to the information we handle. No system is completely secure, and we cannot guarantee absolute security.

10. Your requests and choices

Contact [email protected] to request access, correction, or deletion of your personal information or to raise a privacy concern. Depending on your location and applicable law, you may have additional rights, including portability, restrictions on certain processing, or an appeal of a decision. We will respond as required by applicable law.

We may verify your identity or an agent’s authority before acting. Some records may need to be retained for legal, transaction, security, or dispute purposes. We will explain relevant limitations. Marketing preferences can be changed separately from requests to delete account information.

Add specific jurisdictional disclosures and appeal or complaint routes if applicable; do not treat this general paragraph as a substitute. Confirm processing locations and add international transfer details if relevant.

11. Changes to this policy

We will post revised versions with an updated effective date and provide additional notice or obtain consent when required. Changes do not authorize uses of previously collected information that require a separate legal basis or consent.
